Requirements: Excellent communication and interpersonal skills and the ability to work collaboratively in a fast-paced environment are required. Knowledge of the ADF preferred and of modern dance education is essential.

Marketing and Communications Coordinator
Reports to: Co-Director
Job Summary
The Marketing and Communications Coordinator will assist with all marketing and press-related activities and will work in tandem with the other Marketing and Communications Coordinator and Graphic and Web Designer to promote the ADF, its performances and programs locally and nationally.
Though each coordinator has separate duties, the coordinators are expected to work as a team and assist each other as needed.
Qualifications
Strong verbal and written communication skills and a minimum of two years related experience. Strong interest in and knowledge of modern dance preferred. Experience with social media and editing, a plus.
Duties include (but are not limited to) the following:
- Maintain effective communications with the general public and the dance community.
- Pitch stories to press and the media.
- Consistently brainstorm new and improved marketing and communications initiatives.
- Writing of press releases, public service announcements, brochure copy, and email blasts, annual report.
- Hire and supervise the ADF photographer.
- Coordinate all logistics for the NEA Arts Journalism Institute in Dance Criticism.
- Create/maintain press kits.
- Assist with the sales of advertising space in the ADF Playbill.
- Facilitate all press release mailings/e-blasts.
- Write/edit press releases and other marketing material as needed.
- Co-coordinate social media initiatives.
- Special events including outside marketing events and working with Modern Scene.
- Other duties as deemed appropriate by the Co-Director

Office Manager / Executive Assistant
Reports to: Co-Director, Director of Finance and Administration
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:
General Office Management
- Assist Co-Director
- Facilitate communication between offices by sending mail and staff meeting notes to the New York staff on a weekly basis, and forwarding email messages as needed
- Answer telephone and check voicemail
- Open and sort the mail
- Hire and supervise Duke work-study students
- Responsible for all aspects of the Work-Study program, including recruiting new students, completing and updating paperwork for Duke Human Resources, completing and turning in bi-weekly timecards, distributing paychecks, coordinating schedules
- Prepare deposits and take them to the bank
- Responsible for the ADF computer system including calling for tech help (Netfriends), assigning computers for the summer, accessing our computers needs etc.
Assists the Director of School Administration and Student Affairs as needed until the arrival of the Registrar in February.
Scheduling of all the ushers for the ADF Performances.
Catering/Parties: Coordinate all aspects of the following events:
- Thanksgiving Dinner (staff only)
- Holiday Open House
- Holiday Dinner (staff only)
- Welcome Dinner (all summer staff and interns, including production)
- Various birthday and anniversary celebrations (staff only)
Annual Move To/From ADF Summer Offices
- Responsible for all aspects of the move
- Make arrangements with T.R.O.S.A. (moving company)
- Make arrangements with IKON to move the copier
- Prepare and finalize the Epworth office furniture chart
- Prepare and finalize the phone/Ethernet list for OIT
- Prepare staff for moving day via meetings, a memo, and schedule
- Acts as primary contact for outside companies (specifically T.R.O.S.A.) during the move itself
- Other activities as needed
Dancing for the Camera: International Festival of Film and Video Dance
- Coordinate dates and fees with Jodee Nimerichter and Doug Rosenberg
- Create annual application and support materials
- Work with Graphic/Web Designer on posting of materials on web site and with Press and Marketing Associate on the press release
- Work with Graphic/Web Designer on mass emailing (e-Blast)
- Process applications including registration fees
- Create a working budget and update it as actual costs are confirmed
- Arranges all aspects of jury meeting to view submissions including payment of juror fees, Doug Rosenberg’s travel and accommodations, breakfast and lunch for the jurors, and a packet for the jurors to take notes
- Notifying participants if their films have been accepted or not
- Work with Doug to arrange a screening schedule, then post (with stills from films) on website
- Arrange Doug Rosenberg’s travel, accommodations, and transportation to ADF
- Correspond with School Operations Office to arrange technical aspects, including equipment needs for all screenings
- Work with Graphic/Web Designer to create and print program, and flyers to post around campus and town
- Attend all festival screenings to oversee and distribute programs
- Return videos as necessary and get permission from screened participants to archive films for ADF use
Intern Program
Works closely with the Director of Finance and Administration regarding all aspects of the intern program
- Responsible for all aspects of the intern brochure, from design to mailing
- Work closely with the Graphic & Web Designer to keep website current
- Act as primary contact person for all inquiries; ensure that interested parties receive a brochure and are entered into the database
- Process applications as they arrive; keep the notebook organized and communicate with staff regarding any concerns
- Prepare and send out Welcome Packets, including all letters of agreement and financial information; keep interns updated regarding housing, answer questions as they arise
- Responsible for all aspects of Intern Orientation and Welcome Activities
- Discuss and implement new ideas regarding the Intern Program
International Choreographer Residency (ICR) program-will be responsible for all aspects of the ICR program starting in August 2010.
Other Seasonal Responsibilities
- Place ads for Intern/Summer Staff/Production Staff positions
- Train and supervise a receptionist to answer telephone, check voicemail, and sort the mail; work with receptionist to train and supervise scholarship students; be available to cover phones when receptionist/students are not available
